Operation Roles

Everything that happens within a company to keep it running and earning money is referred to collectively as business operations. Business plans often include a section dedicated to operations so that company founders understand the systems, equipment, people, and processes need to make the organization function.

Administrative

Responsibilities:
1) Answer and direct phone calls
2) Organize and schedule appointments
3) Plan meetings and take detailed minutes
4)Write and distribute email, correspondence memos, letters, faxes and forms
5) Assist in the preparation of regularly scheduled reports
6) Develop and maintain a filing system
7) Update and maintain office policies and procedures
8) Order office supplies and research new deals and suppliers
9) Maintain contact lists
10) Book travel arrangements
11) Submit and reconcile expense reports
12) Provide general support to visitors
13) Act as the point of contact for internal and external clients
14) Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Preferred Qualifications:
1) Proven experience as an administrative assistant, virtual assistant or office admin assistant
2) Knowledge of office management systems and procedures
3) Working knowledge of office equipment, like printers and fax machines
4) Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
5) Excellent time management skills and the ability to prioritize work
6) Attention to detail and problem solving skills
7) Excellent written and verbal communication skills
8) Strong organizational skills with the ability to multi-task
9) High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Sales and Account Management

Responsibilities:
1) Manage a portfolio of accounts to achieve long-term success
2) Develop positive relationships with clients
3) Act as the point of contact and handle customers’ individual needs
4) Generate new business using existing and potential customer networks
5) Resolve conflicts and provide solutions to customers in a timely manner
6) Supervise account representatives to ensure sales increase
7) Report on the status of accounts and transactions
8) Set and track sales account targets, aligned with company objectives
9) Monitor sales metrics (e.g. quarterly sales results and annual forecasts)
10) Suggest actions to improve sales performance and identify opportunities for growth
Preferred Qualifications:
1) Proven work experience as a Sales account manager or Sales account executive
2) Hands on experience in sales and an ability to deliver excellent customer experience
3) Knowledge of CRM software and MS Office (MS Excel in particular)
4) Understanding of sales performance metrics
5) Excellent communication and negotiation skills
6) An ability to deliver projects and answer inquiries on time
7) Business acumen with a problem-solving attitude
8) BSc degree in Business Administration, Marketing or relevant field
